Member Referrals

the referrals page lets you run a word of mouth referral program where existing members earn rewards for bringing in new members navigate to growth → referrals in the admin sidebar 🔛 enabling the program go to the settings tab and toggle referral program on until it's enabled, members will not see the invite friends card and no referral links will be generated ⚙️ configuring rewards under settings you configure two independent rewards — one for the person who refers, and one for the new member who joins referrer reward what the existing member earns when someone they invited makes the referrer's per referral payout scale up as they bring in more conversions — for example rm 10 each for the first 4 referrals, then rm 15 each from the 5th onward, then rm 20 each beyond 10 this is different from milestones, which give a one off bonus on hitting a specific count tiers change the ongoing per referral rate configuring tiers (admin) under settings → reward tiers , add tier rows each tier has from — minimum number of referrals at which this tier kicks in up to — maximum referrals before the next tier takes over (leave open ended for the highest tier) reward per referral — rm amount paid for each conversion in this range the lowest tier starts at 1 referral each tier's range automatically aligns with the next what members see (invite friends card) members see a unified reward path combining tiers and milestones in one ladder the current tier rate is highlighted (e g "you're earning rm 15 per referral right now" ) a progress bar shows checkpoints — each represents a tier unlock or milestone bonus each stop has a status badge unlocked / in progress / locked when the next tier is reached, members see the new rate they'll earn tiers and milestones can both be active tiers change the per referral rate; milestones add a one off bonus when the count hits a specific threshold 🏆 milestone windows & leaderboard run time bound referral competitions where members race to hit milestones within a recurring window — and reset the leaderboard at the end of each window enabling milestone windows under settings → milestone window reset , toggle the feature on and configure setting description mode fixed schedule — all members reset on the same day per member (rolling) — each member's window starts from their first referral reset frequency number + period (days, months, or years) — e g every 30 days, every 1 month anchor date when the first window begins (fixed mode only) existing referrals are never deleted — only the leaderboard scope changes when a window closes leaderboard the dashboard shows a top 5 leaderboard ranking members by total referrals brought in successful conversions when milestone windows are enabled, a scope toggle appears current window — only counts referrals made inside the active window all time — historical totals across all windows a blue banner shows the current window's start and end dates with a countdown to the next reset window emails three automated emails go out during each window email when sent new referral window started at window open — shows the milestone ladder and rewards at each tier window ending soon 3 days before close — reminds members how many more referrals they need for the next milestone reward milestone unlocked when a member hits a milestone — shows the earned reward in rolling mode , the dashboard shows all time totals only — each member sees their own personal window in the invite friends card 📊 dashboard tab the dashboard shows live stats and the full referral history summary tiles total referrals — all referrals ever created in your program converted — referrals where the new member paid their first invoice pending — referrals awaiting conversion (link used, but no payment yet) conversion rate — percentage of total referrals that converted referrals table every referral with referrer name new member name status (pending / converted / expired) date created filter by status or referrer (to view all referrals from a specific member) using the dropdowns use the pagination arrows for clubs with many referrals top referrers a ranked leaderboard of members who have driven the most conversions (up to top 5 on the current page) rewards issued a summary of all rewards created total issued count applied (fulfilled) vs pending total discount value in rm (for fee discount rewards) 🎁 fulfilling custom rewards if you chose custom reward for either party, an amber alert banner appears on the dashboard tab whenever there are pending custom rewards a table at the bottom of the page lists every unfulfilled custom reward with member name role (referrer or new member) date issued mark fulfilled button click mark fulfilled once you've physically given the reward (e g , handed over the t shirt, waived their registration fee) this moves the reward to applied status fee discount rewards are applied automatically — no manual action needed 🏆 rewards tab the rewards tab is your full ledger of every reward ever issued — automatic referral conversions and manual ones — with status tracking and bulk visibility summary cards card what it shows total all rewards ever issued pending reward issued, not yet applied to a payment applied already deducted from a member's invoice expired reward expired before being used expiring soon pending rewards within 14 days of expiry rewards table every reward row shows recipient, type, amount, status, expiry, the invoice it was applied to (if any), and notes you can delete pending rewards (e g issued by mistake) via the row's ⋯ menu applied or expired rewards stay in the ledger for audit issuing a manual credit use issue manual credit to give a goodwill discount to any member — for compensation, an apology, or a thank you that isn't tied to a referral click issue credit search for the member pick reward type fee discount — rm amount auto applied to their next invoice custom — free text description, you fulfill manually optionally set an expiry (defaults to your tenant's reward expiry days) add notes (required for custom rewards) confirm the reward appears in the table immediately and auto applies on the member's next invoice for fee discounts recording a manual referral use record referral when someone signed up because of a member but didn't use the referral link (e g word of mouth, walk in mentioning a friend) click record referral select the new student who joined search for the referrer by name, email, or referral code the dialog shows the default rewards for both sides — toggle either off, or override the amount confirm this creates the referral record and issues both rewards as if the link had been clicked milestones and conversion emails fire normally the rewards tab combines auto generated rewards (from organic referral conversions) and manual ones into a single ledger filter by status to focus on pending or expiring rewards 🎨 page content tab the page content tab lets you design what members see at the top of their invite friends page — above the standard referral link, qr code, and stats card use it to "sell" your referral program in your own voice available content blocks include hero — headline image and tagline explaining the program about / text — describe the rewards, how it works, why members should care reviews / testimonials — quotes pages edits go live as soon as you save 🔗 how members share their link members see an invite friends card on their profile page ( /invite ) the card shows their personal referral link a qr code for the same link copy link button share via whatsapp button (pre fills message with their link) stats how many people they invited, how many joined, how many rewards they've earned a list of people they've invited and each person's status the referral url format is \[your club domain]/join?ref=membercode when someone clicks the link, the ref=membercode is stored in a cookie for 30 days if they sign up within that window, the referral is automatically attributed to the correct member — even if they close the browser and come back later 🔄 referral lifecycle member shares their referral link visitor clicks the link → referral cookie set, lands on /join page visitor signs up for the club status pending — referral created, waiting for first payment visitor makes their first invoice payment status converted — rewards issued to both parties fee discounts applied automatically to next invoice custom rewards appear in the fulfillment queue if no payment made within the expiry window → status expired , no reward ✅ rules each new member can only be referred by one person — whoever's link they used first referrals only convert on a paid invoice — free plan signup alone does not count a member cannot refer themselves
