Member Referrals

the referrals page lets you run a word of mouth referral program where existing members earn rewards for bringing in new members navigate to growth → referrals in the admin sidebar 🔛 enabling the program go to the settings tab and toggle referral program on until it's enabled, members will not see the invite friends card and no referral links will be generated ⚙️ configuring rewards under settings you configure two independent rewards — one for the person who refers, and one for the new member who joins referrer reward what the existing member earns when someone they invited makes their first payment reward type how it works fee discount a fixed rm amount is automatically deducted from the referrer's next invoice custom reward free text description (e g , "free t shirt", "1 free class") admin must fulfill manually no reward referral is tracked but no reward is issued new member reward a welcome incentive for the person who was referred reward type how it works fee discount a fixed rm amount is deducted from the new member's next invoice custom reward free text description, admin fulfills manually no reward no reward for the new member program rules referral expiry (days) — how many days a pending referral stays open if the new member doesn't make a payment in this window the referral expires and no reward is issued default is 90 days (min 7, max 365) custom invite message — optional message shown to members when they share their link via whatsapp if left blank, a default message is used 📊 dashboard tab the dashboard shows live stats and the full referral history summary tiles total referrals — all referrals ever created in your program converted — referrals where the new member paid their first invoice pending — referrals awaiting conversion (link used, but no payment yet) conversion rate — percentage of total referrals that converted referrals table every referral with referrer name new member name status (pending / converted / expired) date created filter by status using the dropdown use the pagination arrows for clubs with many referrals top referrers a ranked leaderboard of members who have driven the most conversions (up to top 5 on the current page) rewards issued a summary of all rewards created total issued count applied (fulfilled) vs pending total discount value in rm (for fee discount rewards) 🎁 fulfilling custom rewards if you chose custom reward for either party, an amber alert banner appears on the dashboard tab whenever there are pending custom rewards a table at the bottom of the page lists every unfulfilled custom reward with member name role (referrer or new member) date issued mark fulfilled button click mark fulfilled once you've physically given the reward (e g , handed over the t shirt, waived their registration fee) this moves the reward to applied status fee discount rewards are applied automatically — no manual action needed 🔗 how members share their link members see an invite friends card on their profile page ( /invite ) the card shows their personal referral link a qr code for the same link copy link button share via whatsapp button (pre fills message with their link) stats how many people they invited, how many joined, how many rewards they've earned a list of people they've invited and each person's status the referral url format is \[your club domain]/join?ref=membercode when someone clicks the link, the ref=membercode is stored in a cookie for 30 days if they sign up within that window, the referral is automatically attributed to the correct member — even if they close the browser and come back later 🔄 referral lifecycle member shares their referral link visitor clicks the link → referral cookie set, lands on /join page visitor signs up for the club status pending — referral created, waiting for first payment visitor makes their first invoice payment status converted — rewards issued to both parties fee discounts applied automatically to next invoice custom rewards appear in the fulfillment queue if no payment made within the expiry window → status expired , no reward ✅ rules each new member can only be referred by one person — whoever's link they used first referrals only convert on a paid invoice — free plan signup alone does not count a member cannot refer themselves
