📊 Admin: The Announcements Page
Go to Updates.
The page shows three summary stats:
Card | What It Shows |
|---|---|
Total | All announcements (published + drafts) |
Published | Live and visible to members |
Drafts | Saved but not yet visible |
Filters and search
Above the table:
- Status chips — filter to All, Published, Scheduled, Drafts, or Expired
- Search bar — match by title or summary
- Pagination — 20 announcements per page
The table below lists all announcements with their status, target audience, channels, and date. Each row also shows icons for which notification channels were enabled (📱 Push, 🔔 In-app, ✉️ Email). Status badges include:
Badge | Meaning |
|---|---|
Published (green) | Live and visible to members |
Draft (outline) | Saved but not yet visible |
Scheduled (blue) | Will publish automatically at the scheduled time |
Expired (grey) | Was published but visibility window has ended |
Weekly / Monthly / Yearly (purple) | Recurring — re-publishes on schedule |
✏️ Creating an Announcement
Click + New Announcement and fill in:
Field | Required | Notes |
|---|---|---|
Title | Yes | Short, clear headline |
Summary | No | Optional subtitle shown in the list preview |
Description | Yes | Full announcement content |
Target Roles | No | Leave blank to show to everyone |
Target Roles
Choose which roles can see the announcement:
- Leave all unchecked — visible to all members, instructors, and team
- Member — students and guardians only
- Instructor — coaches only
- Team — staff only
You can select multiple roles at once.
Targeting Specific Students
When the Member role is selected, you can optionally narrow the audience to specific students:
- Toggle Target specific students (appears when Member is checked)
- Search by name — type to find individual students and add them
- Add by class — select entire classes at once (grouped by location, shows student count)
- Mix and match — combine individual students and whole classes in one announcement
Only the selected students (and their guardians) receive the announcement. Students not in the selection won't see it, even if they have the Member role.
If you don't toggle "Target specific students", the announcement goes to all members as before.
Publishing Options
Button | What It Does |
|---|---|
Publish | Goes live immediately — members can see it now |
Schedule | Set a date and time to publish automatically — the announcement is saved as a draft and published at the scheduled time |
Save as Draft | Saved privately — members cannot see it yet |
Both Publish and Save as Draft require Title and Description to be filled in.
Scheduled announcements are checked every 5 minutes. The announcement goes live at the next check after your scheduled time.
Notification Channels
Choose how the announcement is delivered:
Channel | Default | Notes |
|---|---|---|
Push | On | Sends a push notification to the mobile app |
In-App | On | Shows in the Updates feed inside the portal and app |
Off | Sends an email to all targeted members |
You can enable any combination. Push and in-app are on by default.
Recurring Announcements
Set an announcement to repeat automatically on a schedule:
Recurrence | Behaviour |
|---|---|
Weekly | Re-publishes on the same day each week |
Monthly | Re-publishes on the same date each month |
Yearly | Re-publishes on the same date each year |
Optionally set a recurrence end date — the announcement stops repeating after that date. If no end date is set, it repeats indefinitely until you turn it off.
Visibility / Expiry
Control how long an announcement stays visible after publication:
Option | Behaviour |
|---|---|
No expiry | Stays visible forever (default) |
7 / 14 / 30 / 60 days | Automatically hidden after the selected number of days |
Expired announcements are no longer shown to members but remain in the admin table for reference.
🔧 Managing Announcements
Each announcement in the table has three action buttons:
Publish / Unpublish (Eye icon)
- Draft → click eye — publishes immediately, badge changes to green "Published"
- Published → click eye-off — unpublishes, returns to "Draft" — members can no longer see it
Use this to toggle visibility without deleting.
Edit (Pencil icon)
Opens the form with the current content pre-filled. You can change any field — title, description, target roles, or published state. Click Save Changes when done.
Changes to published announcements take effect immediately.
When editing a published announcement, an Increment Version option appears. Toggle it on to mark all members as unread again — useful when a meaningful change requires people to re-read it.
Resend (Send icon)
Re-sends the announcement notifications to all targeted members. Useful when you've updated the content and want members to see the change, or if some members missed it.
Delete (Trash icon)
Permanently removes the announcement. A confirmation prompt appears first.
Important: Deleted announcements cannot be recovered.
📱 Where Members See Announcements
- Web portal → Updates
- Mobile app → Updates tab (with unread dot indicator)
- Dashboard — latest announcement shown as a notice card
Members only see announcements targeted at their role (or all roles). They cannot see drafts.
