Disclaimers & Waivers
Disclaimers let you create legal waivers and consent forms that members digitally sign. Signatures are captured using a signature pad, timestamped, and stored permanently as your compliance record.
🖊️ What You Can Use Disclaimers For
- Liability waiver for physical activity
- Medical condition disclosure
- Photo and video consent
- Code of conduct agreement
- Terms and conditions of membership
- Emergency contact consent
✏️ Admin: Creating a Disclaimer
Go to Settings → Disclaimers → Add Disclaimer.
Field | Description |
|---|---|
Title | e.g. "Liability Waiver" or "Photo Consent" |
Content | Full text — supports rich text formatting |
Applies to | Which roles must sign: members, instructors, team, or all |
Required | If on, members must sign before accessing the portal |
Status | Active or Inactive |
✨ Generate with AI
Inside the disclaimer editor, click Generate with AI (Sparkles icon) to have REMMU draft or translate disclaimer text for you.
Two modes:
Mode | What it does |
|---|---|
Draft from scratch | Generates a complete disclaimer for the selected type |
Translate existing | Translates the current disclaimer content into another language |
Disclaimer types supported:
- Liability waiver
- Photo and video release
- Medical consent
- Code of conduct
- Cancellation policy
- Privacy / data consent
- General terms and conditions
Inputs:
- Type — pick from the list above
- Tone — Professional or Friendly
- Notes (optional) — add specifics (e.g. "mention minors", "include indemnity clause")
- Language — generate or translate to 7+ languages (English, Malay, Chinese, Tamil, etc.)
The AI output appears in the editor for you to review and edit before saving. Every AI-drafted disclaimer includes a "not legal advice" notice — always have a legal professional review before publishing.
AI disclaimer generation is admin-only and rate-limited to 20 generations per academy per day.
Required vs Optional
- Required — member is blocked from the portal until they sign
- Optional — visible in their profile, they can sign at any time
Who Must Agree
When creating or editing a disclaimer, choose one of two ways to decide who it applies to:
Option | What It Means |
|---|---|
Everyone in a role | Applies to every student, parent/guardian, instructor, or team member you tick. Pick one role or several. |
Specific people | Applies only to the individuals you select by name. |
Everyone in a role
The default. Tick the roles the disclaimer applies to, and everyone in those roles is asked to sign — including people who join later.
Specific people
Choose Specific people when only certain individuals need to agree — for example a competition waiver for the squad travelling to an event, or a revised contract for two instructors.
- Select Specific people
- Click Add people
- Switch between the Students, Instructors and Team tabs
- Search by name or email, tick each person, and click Done
A green tick beside a name means that person has already signed the current version.
You can mix types in one list — for example three students and one instructor on the same disclaimer.
A disclaimer set to Specific people with nobody selected is shown to nobody. Select at least one person, or switch back to Everyone in a role.
Removing someone from the list stops the disclaimer being required of them from that point on. It never deletes a signature they already gave — your audit trail stays intact. If you add them back later, they stay signed unless you publish a new version.
People you invite who haven't signed up yet can still be selected. They'll be asked to sign once they activate their account.
The list of specific people is managed on the web dashboard. The mobile app shows that a disclaimer is assigned to specific people, but you'll need the web dashboard to change who's on the list.
Admins and team members
A required disclaimer normally never blocks admins or team members from their dashboard — they keep working whether or not they've signed.
The exception is Specific people: if you add an admin or team member to a target list by name, the disclaimer will block them until they sign, same as anyone else. Selecting someone individually is treated as deliberate.
Be careful adding yourself or another admin to a required disclaimer set to Specific people — they'll be blocked from the dashboard until they sign it.
🔧 Admin: Managing Disclaimers
From Settings → Disclaimers:
Action | What It Does |
|---|---|
Edit | Update content — automatically increments version and triggers re-signing |
Preview | See how the disclaimer looks for members |
View Signatures | See who signed, when, and which version |
Toggle Active/Inactive | Deactivate without deleting |
Delete | Permanently removes disclaimer and all signatures |
Viewing Signatures
Click View Signatures to see a full list of:
- Member name and sign date
- Version they signed
- Whether their signature is current or outdated
This is your compliance audit trail.
🔧 Versioning
When you edit a disclaimer's content, the version increments automatically. Members who signed an older version are prompted to re-sign on their next login.
Example:
- Version 1 published → members sign
- Admin edits content → Version 2 created
- Members see "New version available — please re-sign"
- After signing → they're on Version 2
👤 Member: Signing Disclaimers
Members access disclaimers via Profile → Disclaimers, or are prompted on login for required ones.
Pending Disclaimers
Shows:
- Unsigned disclaimers
- Disclaimers with a newer version (need re-signing)
- Badge showing if required or optional
Signing Process
- Click Review & Sign
- Read the full disclaimer
- Draw your signature using the signature pad (touch or mouse)
- Click Submit Signature
The signature is saved with your name, timestamp, and the version signed.
Signed Disclaimers
- Green badge — signature is current
- Grey badge — newer version exists, re-sign required
Members can tap any signed disclaimer to view the exact content they agreed to.
⚙️ Disabling the Disclaimers Module
If your academy doesn't use waivers, go to Settings → General → Modules and disable Disclaimers. Members will no longer see it in their profile and won't be prompted to sign anything.
