Every member can have a **wallet** with your academy — a balance of credit they can spend on invoices, and in many cases withdraw back to their bank. It's where refunds, referral rewards, affiliate earnings, and credit you give them end up, in one place.

## 💼 What's in a Wallet

A member's wallet shows:

| **Withdrawable**  | Money the member can pay to their bank — refunds, affiliate earnings, overpayment credit, and their own top-ups |
| **Spend-only**    | Credit that can pay invoices but can't be cashed out — e.g. referral rewards                                    |

If a withdrawal is pending, its amount is held and the wallet shows how much is actually spendable.

### Where wallet credit comes from

## 🧑‍🎓 For Members

Members open **Wallet** in the **Money** section of the sidebar (**My Wallet**).

### Spending wallet credit

Wallet credit is spent on invoices:

- **Pay with wallet balance** — when the balance covers the whole invoice, this button appears at checkout and settles it in one tap
- **Apply wallet balance** — when it covers only part, a toggle uses the balance toward the invoice and the rest is paid by bank transfer or online. This also works when paying several invoices at once — the wallet amount is applied to the oldest-due invoice first
- **Installments** — a single installment can be paid from the wallet when the balance covers it. See [Installment Plans](docId\:peJokc3A1EJyetlLTO7aI)
- Admins can also apply a member's wallet when marking an invoice as paid

The wallet page shows **which invoice** each spend paid, and receipts show the wallet amount used and any split (e.g. "Wallet Credit + FPX").

### Topping up

If you've turned on top-ups, members see a **Top up** button.

1. Enter an amount (within your minimum and maximum)
2. Choose how to pay:
   - **Online payment** — card, FPX, or e-wallet. Instant and automatic. The chosen channel's processing fee, if you charge one, is added on top; only the top-up amount goes into the wallet
   - **Bank transfer** — transfer to one of your bank accounts, then upload the receipt. The wallet is credited once an admin approves it
3. Continue to payment

### Withdrawing

If you allow withdrawals, members tap **Withdraw to bank**, enter an amount (up to their withdrawable balance, and at least your minimum) and their bank details, and submit. They can save their bank details for next time, and can cancel a request while it's still pending. Spend-only credit can't be withdrawn.

Only one withdrawal can be in progress at a time. The wallet shows a **Withdrawal History** with each request's status, payment reference, and the reason if one was rejected, plus a full **Transaction History**.

## 🛠️ For Admins

Open **Finance → Member Wallets** (admin only).

### Overview

- **Total balance** across all members, **Withdrawable** (eligible for bank payout), and **Pending withdrawals** awaiting your review
- **Balance by source** — click a source (welcome credit, referral earning, affiliate commission, manual credit, overpayment credit, wallet top-up, or what's been applied to invoices) to filter the member list to it
- A searchable member list. Click **Add Member** to give a member a wallet who doesn't have one yet

### Member detail

Click a member to see their balances, transactions, and withdrawals. Use **Issue Credit** or **Deduct Credit**:

1. Enter the amount in RM
2. Enter a **reason** (required, visible to admins only)
3. For credits, choose whether it's **Withdrawable** — eligible for bank payout, not just store credit
4. Confirm

A deduction can't be more than the member's current balance.

### Transactions

The **Transactions** tab lists every wallet movement across all members.

### Withdrawals

Withdrawal requests appear in the **Withdrawals** tab, with a badge for how many are waiting. For each request you see the member's bank details (with a **Copy account number** button). Choose:

- **Approve Withdrawal** — enter the bank transfer **Payment Reference** you used and an optional note. The member is told their payout is being sent
- **Reject Withdrawal** — give a reason; the held amount returns to the member's wallet

Make the bank transfer yourself, outside REMMU, then record the reference when you approve.

### Settings

The **Settings** tab controls what members can do.

| **Allow wallet withdrawals**             | Turns the **Withdraw to bank** action on or off. Members can always see their balance and spend it on invoices, whatever this is set to |
| **Minimum withdrawal amount (RM)**       | Members can't request less. Set 0 for no minimum                                                                                        |
| **Processing note shown to members**     | Optional text shown next to the amount on the withdrawal form, e.g. "Payouts take 2–3 working days"                                     |

**Tip:** Topped-up money is the member's own, so it's always withdrawable. If you'd rather it stay as credit with you, turn withdrawals off — members can still spend it on invoices.

### How it shows in your accounts

Online top-ups post to your [Ledger](docId\:Ob8wkt_7rLMRxTi2T7kEQ) with the money credited to the wallet and any processing fee and gateway cost recorded separately. The gateway cost also appears in **Expenses** as a **Gateway Fees** entry.
